Job Summary

Works closely with the Practice Manager in managing and maintaining patient records at the Center for Children & Families (CCF). Conducts EMR chart reviews, processing release authorizations, and scanning/uploading documents. Handles patient correspondence, managing record retention, and assisting with financial tasks such as invoicing and payment follow-ups. Ensures accuracy in billing codes and collaborates with the Practice Manager for daily payment reconciliation.
  • In collaboration with the clinical staff, maintains medical records of CCF patients. Conducts frequent chart reviews in the EMR. Identifies missing documentation in clinic files and works with relevant staff to make sure records contain all necessary information.
  • Processes authorization for the release of information according to policies and procedures under state laws and University policies.
  • Processes mailing of correspondence from providers to patients by regular or certified mail.
  • Assists in purging, logging, and shredding of documents that have met record retention requirements.
  • Prepares and submits invoices as needed to payors (including MDCPS) and provides follow-up.
  • Prepares reports regularly of patient balances, sends statements, and invoices, and follows up on attempts to collect for payment.
  • Reviews transaction/billing codes used in the EMR to ensure accuracy; when issues arise, addresses them promptly with relevant staff.
  • Works with the Practice Manager to ensure daily charge reconciliation of payments and transaction codes.
Minimum Qualifications

High school diploma or GED required.
